JOB OVERVIEW

Looking for a data-driven, highly organised virtual assistant to work full-time for an Australian online company in the industry of business coaching for females.
We have a great business culture, a wonderful close-knit team, global reach and expansion, a lot of new skills to teach you (as well as embracing the ones you will bring to us), but we do need you to bring MAGIC to the table for us too.

Your role will be a mix between:
1. Coordinating and monitoring a team of sales professionals to ensure they are compliant with company protocols and SOPs
2. Data analysis and tracking of sales data to ensure efficiency, accuracy and aligned with company goals
3. Assisting our sales team manager in other administration tasks, in an extremely fast paced and dynamic environment

Essentially, you will be our quality-control person for our sales team and making sure they are following our protocols and administrative procedures correctly and swiftly.

***MUST HAVE QUALITIES (please do not apply if you feel you are not at a highly proficient level in these areas):

- STRONG ATTENTION TO DETAIL AND ACCURACY. If you are prone to typing errors, spelling mistakes and regularly have to fix small errors, this role is not suitable for you.
In this role, you should be FINDING the mistakes from our sales team and fixing them.

- ABILITY TO FOLLOW PROTOCOLS AND ENSURE OTHERS DO THE SAME. You should be able to easily learn SOPs like the back of your hand, and ensure the team follows every detail.
This role will require you to monitor and discover any discrepancies or errors within the team as soon as they arise, contact the appropriate team member and enforce correction on their part.
You won't need to be rude, of course, but you will be required to have a strong management-style personality and not be shy to tell your colleagues to fix their errors ASAP (and stay on top of them until it's completed to standard.

- HIGHLY DRIVEN BY DATA WITH THE ABILITY TO ANALYSE DATA. In this role, you will be asked not only to gather and input data, but you MUST have the ability to analyse the data in a critical way that helps the business form important judgements and decisions to drive profits and efficiency.
Being "good with spreadsheets" is not enough, you must have the analytical skills to interpret what the data is telling you.

- PROFICIENCY IN SOPs. In this role, you will be asked to create systems and workflows for certain tasks and projects, to ensure better efficiency and alignment with the team. Building out SOPs, learning and creating new systems, using new software should all be second nature to you. If you are technologically challenged, or don't enjoy learning new systems, then this role will not be suitable for you.

- ORGANISATION AND TEAM MANAGEMENT SKILLS. You will need to ensure our sales team are managing their workload efficiently, which means ensuring they arrive to their calls on time, write appropriate notes and updates, conduct followups in a timely manner, update systems and CRMs accordingly, complete all legal and admin requirements after each call and so on.
Not only is managing yourself important, but managing others is also vital.

- Highly proactive and efficient in not only completing day to day administrative tasks, but also identifying new tasks that should be completed that will benefit the company and create better flow and efficiency for the team.

- Strong communication skills, both spoken and written. You will be required to communicate and report to the Sales Manager but also communicate to our sales team, and perhaps even clients. Proper use of grammar, punctuation and proficiency in English is vital, especially in written format.

- Highly productive with proven results, ability to meet firm deadlines and prioritise tasks accordingly.

*** SKILLS PREFERRED/REQUIRED (as noted):

- Experience and proficiency in Excel, Google Sheets, (Required)
- Experience in data entry, spreadsheets, data analysis (Required)
- Experience in using Slack, Google Suite, Gmail, Calendar, Google Sheets and Google Docs (Required)
- Experience in systems/workflow quality control and team management (Required)
- Experience working with task management systems such as Asana, Monday etc (preferred)
- Experience with CRMs such as Go High Level, Hubspot, Close etc (preferred)
- Experience in a fast paced online coaching or sales-driven environment (preferred)

WORKING HOURS:
Monday to Friday 8.30am to 5.30pm Australian Eastern Standard time (with one hour lunch), with possible minor changes in scheduling if certain events or deadlines arise. Note - this may be pushed back by 1-2 hours depending on the manager's schedule. Please note in your application if times do not suit.
