JOB OVERVIEW

We are a growing luxury dog grooming company in the United States looking for a reliable and friendly Virtual Assistant based in the Philippines to help manage daily customer communication and appointment scheduling.
This role is ideal for someone who enjoys working with customers, is organized, and can communicate clearly in English.
You will be responsible for responding to customer messages, managing grooming appointments, and helping keep our schedule organized.
The role will be for 40 hours per week, mostly mornings in Philippines starting at 7 to 9 AM, 7 days per week.

Responsibilities:
1. Customer Communication & Relationship Building
- Respond promptly to customer inquiries via text, email, phone, and social media.
- Build rapport with pet owners through friendly, professional, and personalized communication.
- Provide an exceptional customer experience that encourages repeat business and referrals.
- Follow up with prospective customers and past clients to maintain engagement and strengthen relationships.
2. Sales & Booking Support
- Answer questions about grooming services, pricing, packages, and promotions.
- Identify customer needs and recommend appropriate grooming services.
- Convert inquiries into booked appointments through consultative, customer-focused communication.
- Upsell add-on services when appropriate.
- Track leads and follow up with customers who have not yet booked.
3. Appointment Management
- Provide appointment availability and scheduling options.
- Book, reschedule, and cancel grooming appointments.
- Send appointment confirmations and reminders.
- Maintain and update the grooming calendar and schedule.
4. Customer Records & Administrative Support
- Maintain accurate customer and pet records.
- Update dog and owner information as needed.
- Track new customers, repeat customers, and customer retention metrics.
- Prepare basic reports on bookings, inquiries, and customer activity.
- Perform other administrative tasks as assigned by the Office Manager.
5. Preferred Qualifications
- Strong customer service and relationship-building skills.
- Experience in appointment setting, sales, customer success, or lead conversion.
- Excellent written and verbal English communication.
- Ability to handle objections and guide customers toward booking decisions.
- Highly organized with strong attention to detail.
- Comfortable using scheduling software, CRM systems, email, and social media platforms.
