About us

We are a New Zealand-based business supplying customised sportswear direct from China to schools and sports clubs. Sponsorship is a core part of how we serve our customers. Our operations run on Ostendo EAP integrated with MYOB, and we sell through both direct and ecommerce channels. We have an immediate need to address item code and data cleanup alongside ongoing finance and inventory management responsibilities.

About the role

This is a fully remote, part-time contract role open to candidates anywhere in the world. You will be the Ostendo and MYOB system expert on our team — working closely with our NZ-based bookkeeper and external accountant to ensure the financial and operational engine of the business is running accurately and to its full potential.

Who you'll work with: You'll collaborate directly with our in-house bookkeeper (day-to-day transactions and data entry) and our external accountant (compliance, tax, and period-end). Your role is the bridge — owning the EAP system, cost structures, inventory integrity, and reporting quality that both of them depend on.

Key responsibilities

Item code & data cleanup — immediate priority

Our item code library and product descriptions have accumulated significant duplication and inconsistency. This is a hands-on cleanup project with real urgency — server storage constraints mean it needs to be addressed promptly and methodically.

Audit the full item code library in Ostendo — identify duplicates, redundant codes, obsolete items, and inconsistent naming conventions
Standardise product descriptions across all active items — clear, consistent, and suitable for quotes, invoices, and ecommerce listings
Develop and apply a logical item coding structure that supports accurate reporting and scalable growth
Merge, archive, or delete redundant records — carefully managing linked transactions, open orders, and historical data before any removal
Identify and reduce unnecessary data accumulation contributing to server storage pressure
Document new item code conventions so the bookkeeper and team can maintain consistency going forward
Inventory management & stocktakes

Plan and coordinate monthly physical stocktakes with the local team — count sheets, variance investigation, and sign-off
Reconcile physical counts against Ostendo inventory records; investigate and resolve variances
Process inventory adjustments in Ostendo and ensure these are correctly reflected in MYOB
Maintain accurate stock valuations and monitor slow-moving or obsolete stock
Ecommerce inventory accuracy

Ensure inventory levels in Ostendo sync correctly with ecommerce platform(s) — preventing overselling or stockout errors
Review and tighten the ecommerce fulfilment workflow — order receipt, picking, dispatch, stock deduction, returns, and cancellations
Ensure cleaned-up item codes and descriptions flow correctly into ecommerce product listings
Stock receipting & MYOB integration

Manage end-to-end stock receipting in Ostendo — purchase order through to goods receipt and inventory posting
Ensure stock receipts and supplier invoices are reconciled and posted correctly into MYOB
Oversee the sales invoicing process — correct coding, GST treatment, and customer allocation in MYOB
Support the bookkeeper with transaction queries and system issues as they arise
Freight & import costing

Ensure landed costs (freight, customs, duties) on China direct imports are correctly captured and allocated to stock
Review freight links and integrations within Ostendo for accuracy
Costing, quoting & margin reporting

Review and validate the quoting module — ensure cost and selling prices are correctly configured for margin reporting
Maintain costing templates for consistent quoting on customised sportswear orders
Prepare margin and management reports for the business owner and external accountant as required
Sponsorship accounting

Establish or review accounting treatment for sponsorship arrangements — income, contra, or in-kind classification
Ensure sponsorship transactions appear correctly in Ostendo, MYOB, and margin/P&L reporting
CRM & system reporting

Audit CRM data — customer records, pricing tiers, and contact links for schools and clubs
Reviewscript-based reports; flag or correct broken logic or outdated references
Recommend improvements to ensure Ostendo is operating to its full potential
What we're looking for

Proven, hands-on experience with Ostendo EAP — this is the core requirement; candidates without direct Ostendo experience are unlikely to be suitable
Strong MYOB experience — inventory, invoicing, purchase and supplier workflows
Background in cost accounting, inventory accounting, or finance operations in an import, distribution, or product-based business
Demonstrated ability to audit and rationalise product/item master data in an ERP — this is a key requirement for the immediate project
Experience coordinating stocktakes remotely and reconciling inventory variances
Understanding of ecommerce inventory management — stock sync, fulfilment, and returns
Solid grasp of landed cost allocation and direct import stock flows; NZ GST knowledge helpful but not essential
Comfortable working remotely and collaborating with a small team across time zones via email, video, and shared systems
Familiarity with sponsorship accounting is a distinct advantage
Methodical and process-driven — able to work through large volumes of legacy data carefully and accurately
