JOB OVERVIEW

Your mission is simple. Keep projects moving. Keep systems improving. Keep everyone aligned.
This role focuses on project coordination, operational systems, scheduling, vendor communication, documentation, and process development.

Primary Responsibilities:

1. Project Scheduling & Coordination
* Maintain active project schedules and timelines
* Track project milestones and upcoming deadlines
* Coordinate trade handoffs between subcontractors
* Identify potential scheduling conflicts before they become delays
* Ensure projects continue moving forward without bottlenecks

2. Operations & Process Development
* Document company processes and workflows
* Create SOPs, checklists, templates, and project playbooks
* Build repeatable systems for project management and operations
* Help create and maintain an employee handbook
* Continuously improve operational efficiency

3. Construction Project Support
* Convert field notes, walkthrough recordings, and project updates into actionable tasks
* Assist with permitting documentation and project setup
* Maintain project tracking systems
* Organize project files, plans, specifications, and documentation
* Support project managers and leadership with administrative coordination

4. Vendor & Supplier Coordination
* Request and track vendor and subcontractor pricing
* Coordinate purchasing and procurement activities
* Track deliveries and lead times
* Maintain vendor and subcontractor databases
* Follow up on outstanding items and commitments

5. Estimating Support (Preferred but Not Required)
* Assist with estimate preparation and organization
* Coordinate subcontractor bid requests
* Collect and compare pricing proposals
* Organize estimating documentation and bid packages

6. Financial & Administrative Support
* Organize vendor invoices and receipts
* Track project-related expenses by job
* Maintain digital filing systems
* Support reporting and project documentation
* Assist leadership with scheduling and follow-up as needed

* Buildertrend, Procore, or similar platforms
* Google Workspace
* Microsoft Excel
* Scheduling and timeline management
* Vendor and subcontractor coordination
* Estimating support


Success in This Role:

* First 90 Days
* Take ownership of project tracking and scheduling
* Organize project documentation and workflows
* Build initial SOPs and project management systems
* Improve communication and task accountability

Within 6–12 Months:
* Become the operational right hand to the founder
* Build a comprehensive company operations playbook
* Standardize project management and trade coordination processes
* Significantly reduce the founder's daily coordination workload
* Help create a scalable foundation for company growth
