Job Summary:
We are seeking an experienced Commercial Real Estate - Multifamily Database Administrator to develop, implement, and manage a comprehensive real estate database in Excel. This individual must have expert-level proficiency in CoStar and Crexi, as well as proven experience as a Database Administrator. The role requires the ability to aggregate and analyze multifamily property data across multiple specified geographical areas while utilizing public records to identify and verify building owner information, including names,
Key Responsibilities:
Database Development & Management:
o Design and develop, a structured Excel-based real estate database for multifamily properties within the Northern Virginia, Southern Maryland, Washington DC, and Southern Pennsylvania areas.
o Ensure accurate data entry, validation, and regular updates.
o Organize and categorize data across multiple geographical markets with relevant property specifications.
Data Collection & Research:
o Utilize CoStar, Crexi, and other industry tools to source, analyze, and compile property data.
o Research public records, tax assessor sites, and other online sources to obtain building ownership details.
o Identify and verify property owner contact information (name,
Data Analysis, Pattern Recognition & Organization:
o Apply expert knowledge in deciphering complex data to identify patterns, trends, and anomalies.
o Develop systematic methods for organizing information, ensuring consistency and usability.
o Structure datasets in a way that enhances searchability and improves data-driven decision-making.
Step-by-Step Walkthrough & Reporting to Superiors:
o Before Database Creation: Present a clear strategy outlining goals, methodology, and expected outcomes of the database.
o Database Creation Process: Walk the superior through the exact steps taken to compile, verify, and organize data, ensuring transparency and efficiency.
o After Database Completion: Provide a detailed explanation of how the database is structured, how to navigate it, and best practices for use.
o Ongoing Communication: Address any additional questions from management, refine the database based on feedback, and ensure continued alignment with business needs.
Database Optimization & Compliance:
o Ensure data integrity, accuracy, and security.
o Implement best practices for data storage, filtering, and accessibility.
o Maintain compliance with data privacy regulations when handling contact information.
Map/Driving Directions
o Create maps/driving instructions through Google Maps for 3-4 hour blocks to drive to each property.
Qualifications & Skills:
• Proven experience as a Database Administrator in the commercial real estate industry.
• Expert proficiency in CoStar and Crexi for property research and data extraction.
• Advanced Excel skills, including pivot tables, VLOOKUP, macros, and data visualization.
• Experience using public records and property tax databases to find property owner contact details.
• Highly organized, detail-oriented, and analytical with the ability to work independently.
• Strong ability to recognize data patterns and implement systematic methods for database organization.
• Strong communication skills for reporting findings and collaborating with stakeholders.
Preferred Qualifications:
• Experience with CRM platforms or database management software.
• Background in real estate investment, brokerage, or property management.
• Familiarity with SQL, Power BI, or other data analytics tools is a plus.
