Client Intake Coordinator / Customer Service Representative (Remote – Full Time)

Location: Philippines (Remote)

Schedule: Tuesday to Saturday | 12:00 PM – 8:30 PM Pacific Time (Canada)

Compensation: Competitive monthly salary based on experience, qualifications, and performance.

We are looking for a Client Intake Coordinator who can become a key part of our organization and grow alongside the company for years to come.

This Is More Than a Typical Virtual Assistant Role

This position is not simply data entry or administrative support.

You will be one of the first people our customers speak with. You will answer calls, build trust with homeowners, schedule appointments, manage customer communication, and help ensure that no lead is ever forgotten.

As our company grows, this role has the potential to grow into:

- Senior Client Success Coordinator
- Operations Coordinator
- Remote Team Lead
- Overseas Operations Manager

Primary Responsibilities

Customer Service & Client Intake

- Answer inbound phone calls from homeowners
- Return missed calls promptly
- Schedule inspections and appointments
- Respond to customer emails and text messages
- Follow up on quotes and pending opportunities
- Build trust and rapport with customers
- Ensure every lead receives timely communication

CRM & Operations Support

- Enter and maintain customer information
- Update lead and job stages within Roofer CRM
- Maintain detailed customer notes
- Coordinate calendars and appointments
- Assist with reporting and administrative tasks
- Support sales and production teams with accurate information

Growth & Improvement

- Help identify ways to improve processes
- Assist with CRM workflow improvements
- Support company growth initiatives
- Take ownership of assigned responsibilities

Software & Tools

Experience with any of the following is considered a major asset:

- Roofer CRM
- GoHighLevel
- CompanyCam
- Google Workspace (Gmail, Calendar, Sheets, Docs)
- Telus Business Connect
- Zapier
- CRM systems
- Customer service software

We are willing to train the right person.

Required Qualifications

- Exceptional spoken and written English
- Professional and confident phone presence
- Strong grammar, spelling, and communication skills
- Ability to communicate naturally with Canadian homeowners
- Strong customer service mindset
- Excellent organization and attention to detail
- Ability to work independently
- Strong problem-solving skills
- Positive attitude and willingness to learn

Technical Requirements

Applicants must have:

- Dual-monitor workstation (two screens required)
- Reliable computer
- High-speed internet connection
- Professional headset with microphone
- Quiet home office environment
- Backup internet solution (mobile hotspot or secondary provider)
- Backup power contingency plan for outages
