We are seeking a highly skilled and motivated CRM & Workflow Automation Specialist to join our rapidly expanding Australian Health Technology Firm

Summary
The Associate CRM & Workflow Automation Specialist is responsible for managing, configuring, and integrating key platforms—including Zoho One, Zoho CRM, Zoho Projects, HubSpot, and Zapier—to enhance workflow automation and operational efficiency across MEDirect. This role involves collaborating with the CTO, leadership, and cross-functional teams to streamline system integrations, optimise data flows, and automate critical business processes. The specialist will ensure the seamless operation of interconnected tools, driving innovation and operational excellence and support the CTO.

The Associate CRM & Automation Specialist will play a crucial role in enhancing MEDirect’s operational efficiency by:
• Optimising and maintaining key platforms to meet evolving business requirements.
• Driving automation initiatives through Zapier to reduce manual processes and improve productivity.
• Delivering actionable insights and technical support for system integrations and automation workflows.
• Enabling effective collaboration across departments by ensuring consistent, accurate data flow between systems.
• Taking ownership on basic tasks and reporting to allow the CTO to concentrate on Business-critical tasks.

Key Responsibilities
System Management & Configuration
• Configure, customise, and maintain Zoho One, Zoho CRM, and Zoho Projects to support MEDirect’s business requirements.
• Oversee the integration of HubSpot with CRM systems to ensure seamless data synchronisation and efficient marketing operations.
• Monitor data quality across systems and manage user permissions to ensure secure, efficient operation.
Automation & Workflow Optimization
• Develop, test, and deploy workflow automations using Zapier, HubSpot workflows, and Zoho Deluge scripting to streamline processes and reduce manual workload.
• Create and maintain automated tasks that integrate data and functionality across Zoho platforms, HubSpot, and other business tools.
• Troubleshoot and resolve issues related to automation workflows and system integrations.
• Develop and maintain custom functions and scripts using Zoho Deluge (RM scripting) to extend the functionality of Zoho applications.
Technical & Strategic Support
• Assist in evaluating new features and tools within Zoho, HubSpot, and Zapier, ensuring continuous system improvement.
• Generate reports and dashboards that provide actionable insights for decision-making and performance monitoring.
• Support strategic projects by aligning CRM and automation initiatives with MEDirect’s overall business goals.
• Manage and implement API integrations between Zoho, HubSpot, and other third-party applications.
Collaboration & Documentation
• Work closely with marketing, sales, IT, and project management teams to define system requirements and implement best practices.
• Develop and maintain comprehensive documentation on system configurations, integrations, and automated workflows.
• Provide training and ongoing support to teaUpgrade to see actual infombers, ensuring effective utilisation of CRM and automation platforms.
• Taking ownership of basic tasks within the Zho Suite and Zappia to reduce the workload on the CTO.
Qualifications & Skills
• Education:
o Bachelor's degree or similar in Information Technology, Computer Science, Business Administration (with a focus on IT or Systems Management), or a related field from a recognised Philippine university or college. Strong preference will be given to candidates with relevant certifications (see below).
• Experience:
o Minimum of 1-3 years of experience in CRM administration and automation, specifically with Zoho One, Zoho CRM, and Zoho Projects. Candidates with less direct Zoho experience but strong, demonstrable experience with other major CRM platforms (e.g., Salesforce, Microsoft Dynamics) and a proven ability to learn new systems quickly will be considered.
o Proven experience creating and managing workflow automations using Zapier.
o Experience with HubSpot configuration and integration is highly desirable.
o Experience working in a fast-paced, evolving work environment, preferably within a similar industry in the Philippines.
• Technical Skills:
o Solid understanding of API integrations and data synchronization between various platforms.
o Proficiency in data analysis and reporting, with the ability to generate actionable insights from CRM data.
o Proficiency in Zoho Deluge (RM scripting) for customizing Zoho applications.
o Demonstrated experience with API integrations between various business systems.
o Advanced automation expertise, including hands-on experience with Zapier and HubSpot workflows.
• Certifications (Highly Desirable):
o Zoho CRM Certified Administrator
o Zoho Creator Certified Developer
o Zapier Expert Certification
o HubSpot Certifications (e.g., HubSpot CRM Implementation, HubSpot Marketing Software)
o Other relevant industry certifications will be considered.
• Analytical & Problem-Solving Skills:
o Strong ability to analyze system performance, troubleshoot issues, and implement effective solutions.
o Proactive in identifying opportunities to improve processes and drive automation efficiency.
• Collaboration & Communication:
o Excellent interpersonal skills, with the ability to work effectively across technical and non-technical teams within a Philippine work culture.
o Strong written and verbal communication skills in both English and Filipino (Tagalog). The ability to create clear, concise technical documentation in English is essential.
• Other Requirements:
o Detail-oriented with a strong commitment to data integrity and system security.
o Must be legally eligible to work in the Philippines.
o Willingness to work in [Specify City/Region in the Philippines, if applicable].
• Proficiency in using and administering the Zoho Suite and Zapier.
