About Us

We own and operate multiple residential senior care homes in Southern California.

Over the past several months, we have documented a detailed operating system covering our entire customer journey, including:

* Lead generation and inquiry management
* Qualification calls
* Care consultations
* Community tours
* Assessments
* Move-in process
* Family onboarding
* Follow-up communications
* Internal workflows
* Reporting requirements
* Business operating procedures

We now have more than 80 pages of documentation and process maps.

Our challenge is no longer figuring out what we want to do.

Our challenge is building the right system to support it.

## The Opportunity

We are seeking an experienced CRM and Business Systems Consultant to review our existing process documentation and help us implement it using the best software platform for the job.

Our current thinking is HubSpot.

However, we are not committed to HubSpot if another solution would better meet our needs.

We are open to recommendations and want thoughtful input from experienced professionals.

This is a contract-based project.

We are not currently hiring for a permanent employee position.

For the right consultant, there may be future projects involving process improvement, automation, reporting, AI implementation, and ongoing system optimization.

## What We Need

We are looking for someone who can:

* Review and understand a complex business process
* Ask intelligent questions
* Identify gaps and potential problems
* Recommend appropriate CRM architecture
* Recommend software platforms when appropriate
* Build pipelines and workflows
* Create custom fields and databases
* Configure forms and automations
* Set up email templates and communication workflows
* Create reporting dashboards
* Test systems thoroughly
* Document implementation decisions
* Help us create a system our team will actually use

## Important

We are not looking for someone who simply follows instructions.

We are looking for someone who can think critically and make recommendations.

A successful consultant will challenge assumptions when appropriate and help us make better decisions.

We value thoughtful feedback more than blind agreement.

* Documentation for future administration and maintenance

Candidates we are interested in will be invited to a second stage.

At that stage, we will provide a portion of our process documentation and ask you to:

* Review the system
* Ask clarifying questions
* Identify opportunities for improvement
* Recommend an implementation approach
* Provide a timeline
* Provide a project quote
* Explain how you would test and validate the system

We are far more interested in finding the right consultant than the cheapest consultant.
