Job Opportunity: Bookkeeper & Executive Assistant to Dynamic Business Owner

Are you a detail-oriented, organized professional ready to support a busy entrepreneur? We are seeking a dedicated Bookkeeper & Executive Assistant to assist a Windsor/FOCO female business owner who owns five small businesses, a few real estate properties, and is actively growing her ventures in Colorado. In this role, you will help manage all LLCs, handle Gusto and QuickBooks, ensure compliance with sales tax regulations, FAMLI payments, setting up new accounts for payroll, handling benefit payments, and overall keeping the paperwork organized.

This position involves both bookkeeping and executive assistant duties, providing an excellent opportunity for growth as she continues to expand her business operations. You will work directly with the owner who is a positive, growth-driven, mama of three. An ideal candidate has high integrity, values a boss who appreciates them, and is looking to fulfill their accounting/bookkeeping roots - but also wants to have a bit of a variety of responsibilities.

Key Responsibilities:
Bookkeeping Duties:
Accurately record day-to-day financial transactions.
Prepare monthly bank and credit card account reconciliations.
Handle all bookkeeping and keep an updated dashboard for businesses
Enter data and classify transactions properly.
Prepare sales tax returns and 1099s (there aren’t many)
Prepare financial statements and assist with year-end account close and paperwork.
Manage payroll, Gusto, account set ups for new businesses in Gusto, FAMLI payments
Maintain bank accounts, including deposits, disbursements, and reconciliations.
Utilize accounting software for data entry and management.
Conduct cash flow analysis and present reports as needed.
Ensure compliance with federal, state, and local filing requirements.
Maintain strict confidentiality of all financial and payroll data.
Help strategize future budget allocations, profit margins, and give your professional insight to the owner.
Executive Assistant Duties:
Provide high-level administrative support, including managing schedules, email, and occasionally coordinating meetings for the owner.
Assist in managing multiple business operations to ensure timely task completion.
Handle sensitive information with discretion and integrity.
Help set up new accounts on new businesses - ex: utilities, software payments, merchant services, etc.
Support with applying for grants
Occasionally assist with personal tasks such as ordering supplies, gifts, event planning, etc - all with clear communication from the owner.
Qualifications:
Minimum of 3 years of experience as a Bookkeeper or in a similar role.
Strong knowledge of accounting principles and practices.
Proficient in QuickBooks and QuickBooks Online; familiarity with Gusto is a plus.
Advanced knowledge of Microsoft Excel and accounting software systems.
Exceptional organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to work independently, meet deadlines, and manage multiple tasks.
Minimum of an associate's degree in accounting; a bachelor's degree in Accounting, Finance, or a related field is preferred.
Strong work ethic and ability to collaborate effectively with the owner - your knowledge and insights are heard and valued.
