Role Overview:

Elite 8 Tax Relief & Business Advisors is seeking a highly capable Bookkeeper / Accounting Support Contractor to support client bookkeeping, accounting cleanup, financial reporting, and advisory preparation work. This role is ideal for a self-directed accounting professional who understands bookkeeping is more than data entry. We need someone who can review financial activity, identify issues, communicate clearly, meet deadlines, and help maintain clean, decision-ready books for business clients.
The role involves managing QuickBooks accounts, supporting clients, and contributing to our team's collaborative efforts to meet client needs. The ideal candidate has strong QuickBooks Online and Xero experience, understands accounting fundamentals, can manage client accounts independently, and communicates proactively when questions, issues, or bottlenecks arise. This role requires professional judgment, accountability, and the ability to work with limited supervision.

Primary Responsibilities:

Bookkeeping & Account Management
Maintain accurate books for assigned client accounts.
Categorize transactions properly based on client activity and accounting principles.
Reconcile bank accounts, credit cards, loans, merchant accounts, payroll accounts, and other balance sheet accounts.
Review financial statements for obvious errors, inconsistencies, unusual balances, and missing activity.
Maintain clean, organized, and supportable books for each client.
Assist with monthly, quarterly, and annual bookkeeping close processes.
Track outstanding client questions, missing documents, and unresolved transactions.
Support cleanup and catch-up bookkeeping projects when assigned.
Prepare client books for tax preparation, tax planning, or advisory review.

Accounting Review & Quality Control
Identify uncategorized, misclassified, duplicate, or unsupported transactions.
Review balance sheet accounts for reasonableness.
Flag negative loan balances, shareholder distributions, owner draws, retained earnings issues, payroll inconsistencies, and unusual expense activity.
Understand the difference between ordinary expenses, capital assets, loans, equity, distributions, and reimbursements.
Recognize when depreciation, amortization, fixed assets, loan treatment, payroll, or tax-sensitive classifications may require review.
Maintain documentation for bookkeeping decisions and client-provided support.
Escalate technical questions before making unsupported assumptions.

Software & Workflow
Work primarily in QuickBooks Online and Xero.
Use firm-approved project management, document management, and communication tools.
Follow established client workflows, task assignments, naming conventions, and deadlines.
Update task status clearly and consistently.
Document work performed, open issues, assumptions, and pending client needs.
Assist with process improvement when recurring problems are identified.

Client & Team Communication
Communicate clearly in writing and verbally.
Provide concise updates on work status, missing information, and client issues.
Ask focused questions when clarification is needed.
Communicate challenges early enough to protect deadlines.
Provide proposed solutions whenever possible.
Participate in scheduled internal check-ins as needed.
Maintain professionalism and confidentiality at all times.

Required Qualifications
Minimum 3 years of bookkeeping or accounting experience.
Experience supporting tax firms, accounting firms, or advisory practices.
Bachelor’s degree in Accounting, Finance, Business, or a related field.
Both QuickBooks Online ProAdvisor and Xero Advisor Certifications.
Experience independently managing client bookkeeping accounts.
Strong understanding of GAAP fundamentals.
Experience with multiple business types and industries.
Familiarity with U.S. small business tax concepts.
Familiarity with tax-sensitive bookkeeping concepts, including depreciation, capital assets, loans, payroll, owner equity, and deductible versus nondeductible expenses.
Strong written and verbal English communication skills.
Must be able to pass a background check and be bondable due to access to confidential client financial information.
Ability to maintain confidentiality and handle sensitive financial data.

Preferred Qualifications
Have at least two U.S. based references.
Experience preparing books for tax preparation or tax planning.
Payroll bookkeeping experience.
Experience with real estate, medical practices, professional services, construction, cannabis, retail, or service-based businesses.
Experience with cleanup bookkeeping projects.
Experience using workflow tools such as TaxDome, Basecamp, Trello, Asana, Karbon, Financial Cents, or similar platforms.
Experience with document request workflows and client communication tracking.

Technology, Security & Data Protection Requirements
Because this role involves access to confidential client financial records, tax-related documents, bookkeeping systems, and firm information, the contractor must maintain a secure remote work environment and comply with all firm technology and data protection requirements.

The contractor must be able to meet and maintain minimum security standards, including but not limited to:
Reliable high-speed internet connection.
Secure, password-protected computer used for professional work.
Updated operating system and software.
Active anti-malware / antivirus protection.
Properly configured firewall protection.
Use of a firm-approved VPN when required.
Multi-factor authentication for all approved systems.
Secure password management practices.
No shared use of firm logins, client files, or confidential data.
No saving client documents to unauthorized personal devices, drives, or cloud storage.
Compliance with all firm procedures for document access, storage, transmission, and deletion.

The contractor must promptly report any suspected security issue, lost or compromised device, unauthorized access, malware i ---------- , password compromise, or data exposure concern.

Failure to maintain required security standards may result in immediate removal of system access and termination of the contractor relationship.

Background Check, Bondability & Trust Requirements
Because this role involves access to sensitive client financial records, business accounts, tax-related documents, and confidential firm information, candidates must be able to successfully complete a background check and be bondable.
The selected contractor must demonstrate a professional history suitable for handling confidential financial information, client records, bookkeeping systems, and related account access. Any background concern that may affect financial trust, confidentiality, client security, or professional reliability must be disclosed during the screening process.
Candidates must also agree to follow all firm confidentiality, data security, document handling, password management, and client privacy requirements.

Contractor Classification
This is an independent contractor role. The contractor is responsible for managing their own work environment, equipment, internet access, taxes, insurance, and any other obligations associated with independent contractor status. This role does not create an employer-employee relationship.
