We are a fast-growing Canadian robotics startup looking for a detail-oriented bookkeeper based in the Philippines to support our finance and accounting operations. This role is ideal for someone who has experience with Canadian bookkeeping, QuickBooks Online, and receipt/document management, and who enjoys keeping financial records clean, organized, and audit-ready.
About the Role
You will help manage day-to-day bookkeeping tasks, organize receipts and vendor documents, support monthly reconciliations, and work closely with our internal operations team and external accountant. A major part of the role will involve matching expenses, receipts, credit card transactions, vendor bills, and supporting documents across tools like QuickBooks Online, Dext, Amazon Business, AMEX/RBC statements, and internal tracking sheets.
We are looking for someone who is careful, reliable, and comfortable working with a high volume of transactions.
Responsibilities
Maintain accurate records in QuickBooks Online Canada
Match receipts, invoices, bills, and credit card transactions
Reconcile bank and credit card accounts
Organize and upload receipts through Dext or similar tools
Help categorize expenses properly by vendor, account, project, or department
Review vendor bills and payment records for accuracy
Support Amazon Business purchase reconciliation, including matching itemized receipts to card charges
Flag missing receipts, unmatched transactions, duplicate charges, and unusual items
Prepare clean monthly bookkeeping summaries for review
Coordinate with the internal operations team and external accountant
Maintain organized files and documentation for audit/accounting support
Requirements
Experience with QuickBooks Online
Experience with Canadian bookkeeping preferred
Strong understanding of bank feeds, credit card reconciliations, bills, expenses, and chart of accounts
Comfortable working with high transaction volume
Strong attention to detail and ability to investigate discrepancies
Experience with tools like Dext, Hubdoc, Excel, Google Sheets, Amazon Business, AMEX, RBC, or Float is a plus
Good written English communication
Reliable internet connection and ability to work remotely
Comfortable working during some overlap with Eastern Time, Canada
Nice to Have
Experience supporting Canadian startups or small businesses
Familiarity with GST/HST coding
Experience with payroll support or reimbursement tracking
Experience reconciling Amazon Business, corporate cards, or multi-user purchasing accounts
Experience working with external accountants or CFOs
Who You Are
You are organized, careful, and proactive. You do not just enter data, you look for inconsistencies, ask good questions, and help keep the books clean. You are comfortable working independently but also know when to flag something for review.
Work Schedule
Remote role based in the Philippines. We are open to part-time or full-time depending on the candidate’s experience and availability. Some overlap with Eastern Time is required for communication with the Canadian team.
