JOB OVERVIEW

Role Overview:

We are seeking a highly organized and detail-oriented Customer Service Representative. This role requires strong communication skills, attention to detail, and the ability to maintain positive relationships with customers while streamlining the process. The ideal candidate will be proactive, goal-oriented, and capable of working in a fast-paced environment.

Key Responsibilities:

- Serve as the first point of contact for inbound and outbound resident calls, using professional and helpful communication.
- Address resident concerns by referencing software notes and files, aiming to resolve issues without escalation.
- Document all calls and actions in management software and create tickets as needed.
- Follow up on resident inquiries and return missed calls promptly.
- Verify and update resident contact information to ensure effective communication.
- Assist with key and access code management, including activation, deactivation, and distribution.
- Coordinate reservations for association amenities, process rental forms, and collect payments.
- Handle incoming and outgoing mail, including certified mail and return mail processing.
- Support cross-department collaboration and attend assigned meetings.
- Assist with additional tasks as assigned by the supervisor.

Required Skills & Qualifications:

* Experience: Previous customer service, administrative, or property management experience preferred.
* Communication Skills: Excellent verbal and written communication skills with a professional and friendly demeanor.
* Problem-Solving: Ability to resolve resident concerns efficiently and proactively without unnecessary escalation.
* Tech-Savvy: Comfortable using property management software, call management systems, and Microsoft Office (Word, Excel, Outlook).
* Organization & Attention to Detail: Strong ability to manage multiple tasks, maintain accurate records, and follow up on action items.
* Adaptability: Ability to work in a fast-paced environment, handle changing priorities, and assist across departments as needed.
* Dependability: Strong work ethic, punctuality, and ability to work independently while following company procedures.
* Customer-Focused: Friendly, patient, and professional approach to assisting residents and handling concerns.
* Willing to work full time for 40 hours a week following US Timezone.
