Position Summary
The Assistant Manager, Special Projects serves as a key operational and technical partner supporting the Manager of Special Projects. This role assists with a wide variety of initiatives across business operations, technology, process improvement, automation, software administration, troubleshooting, and strategic projects.
The ideal candidate is highly organized, analytical, adaptable, and capable of managing multiple priorities simultaneously. This individual will be responsible for independently executing projects, resolving issues, identifying opportunities for improvement, and helping ensure that critical initiatives move forward efficiently.
This position is ideal for someone who enjoys solving problems, learning new technologies, and taking ownership of projects from start to finish.
This is not a traditional administrative assistant role. The Assistant Manager will be expected to take ownership of projects, solve problems independently, and serve as a trusted extension of management across operations, technology, and process improvement initiatives.
Essential Duties and Responsibilities
Project Coordination & Execution
-Assist in planning, organizing, and executing special projects across multiple departments.
-Manage assigned projects with minimal supervision while providing regular status updates.
-Coordinate with stakeholders to ensure projects remain on schedule and objectives are met.
-Track project progress, identify roadblocks, and recommend solutions.
-Support company-wide initiatives, system implementations, and operational improvements.
Process Improvement & Automation
-Identify inefficiencies and recommend process improvements.
-Create, update, maintain, and troubleshoot automated workflows.
-Assist in evaluating new technologies and tools that improve productivity.
-Document processes and create supporting procedures when necessary.
Technical Support & Troubleshooting
-Serve as an internal resource for software troubleshooting and issue resolution.
-Investigate system issues and coordinate with vendors when needed.
-Assist users with software-related questions and technical challenges.
-Help maintain system functionality and ensure operational continuity.
Systems & Technology Administration
-Support administration of company software platforms and business systems.
-Assist with user management, permissions, testing, and system configuration.
-Participate in software rollouts, upgrades, and integration projects.
-Help ensure data accuracy and system reliability.
Strategic Support
-Analyze business challenges and recommend practical solutions.
-Gather and organize information to support decision-making.
-Assist leadership in researching, testing, and implementing new processes and technologies.
-Anticipate potential issues and proactively develop solutions.
AI & Innovation
-Utilize AI platforms such as ChatGPT, Claude, Replit, and emerging technologies to improve efficiency.
-Assist in developing AI-assisted workflows and business solutions.
-Research and evaluate new technologies that may benefit the organization.
-Support implementation of innovative tools and automation opportunities.

-Experience with CRM administration or business systems.
-Software development experience.
-Experience working with APIs, integrations, or low-code/no-code platforms.
-Experience documenting processes and developing training materials.
