JOB OVERVIEW

We are a thriving podiatry practice in the USA seeking a skilled and reliable Virtual Assistant to join our team as an Authorization Specialist. You’ll play a key role in securing insurance approvals for podiatric treatments using Athenahealth (AthenaOne) EHR, ensuring our patients receive timely care. While we’ll provide training on our specific Athenahealth setup, you must have prior experience with data entry and medical authorizations to succeed in this role. If you’re detail-oriented, experienced in healthcare workflows, and ready to support a US medical practice, we want you!

Responsibilities:
Submit prior authorization requests for podiatric procedures (e.g., foot surgeries, custom orthotics, wound care) using Athenahealth EHR.

Follow up with US insurance providers to track statuses, appeal denials, and secure approvals.

Accurately enter and update patient insurance data, CPT/ICD-10 codes, and authorization details in Athenahealth.

Collaborate with our US podiatry team to collect necessary documentation (e.g., physician notes, X-ray reports).

Maintain compliance with US healthcare standards, including HIPAA, for all patient information.

Provide daily or weekly updates (as directed) on authorization progress via email or our preferred communication tool (e.g., Slack).

Requirements:
Mandatory Experience: At least 1 year of proven experience in medical prior authorizations (e.g., submitting requests, tracking statuses, dealing with insurers).

Data Entry Skills: Strong background in accurate and efficient data entry, preferably in a healthcare setting.

Preferred but Not Required: Prior use of Athenahealth or AthenaOne EHR—training will be provided if you’re new to it, but familiarity is a big plus.

Knowledge: Basic understanding of US insurance processes and medical terminology (e.g., authorizations, denials, podiatry terms like “bunion” or “plantar fasciitis”).

Technical Setup: Reliable high-speed internet (minimum 10 Mbps) and a quiet, professional home office with a computer (Windows/Mac, no tablets).

Communication: Excellent written and spoken English to liaise with our US team and insurers.

Availability: Willingness to overlap with US time zones (e.g., 2–3 hours daily with EST/PST) for real-time coordination—flexible scheduling available.

Bonus: Experience with tools like Availity, other EHRs (e.g., Epic, Cerner), or podiatry-specific workflows.

Additional Details:
US Focus: You’ll support a US-based podiatry practice, requiring adherence to HIPAA and familiarity with American healthcare standards.

Payment: Paid Weekly, we will discuss potential increase after 3 month time period (your choice, finalized at hiring).

Training: We’ll train you on our Athenahealth system and podiatry-specific processes—expect 1–2 weeks of onboarding with our team.

How to Apply:
To ensure we find the right fit, follow these steps exactly—applications missing any part will not be considered:
Submit your resume in PDF format.

Write a cover letter (200–300 words) addressing:
Your experience with medical prior authorizations (specific examples, e.g., “I submitted auths for X procedures”). What did you do when you encountered issues. Have you used Upgrade to see actual info in the past?

Your data entry background (e.g., tools used, accuracy rate).

Whether you’ve used Athenahealth/AthenaOne (if yes, for how long; if no, confirm you’re willing to learn).

Answer these questions in your application:
How many years have you worked on prior authorizations?

Are you currently employed? If yes, what’s your notice period?

Include your earliest start date.

Email
your application to Upgrade to see actual info with the subject line: “Authorization Specialist Application – [Your Full Name]”.

Next Steps:
We’ll review applications within 1–3 days and contact shortlisted candidates for a Zoom interview. Be ready to discuss a sample authorization scenario (e.g., “How would you handle a denied auth for a foot surgery?”). If hired, you’ll start with paid training on our system. Apply now to join our team!
