Assistant Property Manager
Job Type: Full-Time
Work Hours: Monday to Friday, 8:30 AM to 5:30 PM Mountain Time, with a 30-min break from 11:30 AM to 12:00 PM
Salary: $1,000 per month
Job Overview:
We are seeking a highly organized and proactive Assistant Property Manager to provide essential support for day-to-day business operations in a fast-paced property management environment. The ideal candidate will have commercial property management experience and proven hands-on experience using Yardi for day-to-day property management operations. This role serves as a key point of contact for internal teams, tenants, vendors, and external stakeholders, ensuring smooth administrative operations, effective communication, and exceptional customer service. The ideal candidate will be responsible for managing a wide range of administrative tasks, including scheduling, database maintenance, document processing, maintenance coordination, reporting, and general office support. This position requires strong multitasking abilities, attention to detail, excellent communication skills, and the ability to manage projects independently with minimal supervision while maintaining a high standard of professionalism, safety awareness, and customer satisfaction.
Key Responsibilities:
Serve as the primary point of contact for incoming calls,
Answer telephone calls, log detailed messages, and direct inquiries to the appropriate tea
Communicate effectively with internal teams, tenants, vendors, and external stakeholders
Deliver exceptional customer service and maintain strong professional relationships
Manage calendars, create reminders, and schedule tasks using Microsoft Outlook
Maintain and update contact information and records across multiple databases
Prepare, format, and distribute correspondence via
Collect, organize, and process documentation related to contracts and administrative records
Maintain accurate digital filing systems and organize electronic records to ensure efficient document management and accessibility
Manage and update the Yardi database, including tracking maintenance work orders and related records
Coordinate maintenance scheduling and support staff workflow management
Log, monitor, and report building issues and maintenance requests to the facilities team
Coordinate virtual meeting schedules and communicate operational scheduling needs with relevant teams
Manage tenant insurance records, database updates, and compliance tracking
Assist with ad hoc administrative projects and special assignments from leadership/management
Support day-to-day administrative and operational functions to ensure smooth business operations in a remote setting
Required Skills & Qualifications:
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Ability to manage projects independently with minimal supervision and follow through on assigned tasks
Excellent customer service, interpersonal, and communication skills, both written and verbal
High attention to detail with strong time management and problem-solving abilities
Proficiency in Microsoft Office Suite, including:
Microsoft Word – creating professional correspondence, agendas, notes, and maintaining call logs
Microsoft Excel – creating reports, tracking data, maintaining logs, and managing spreadsheets
Microsoft Outlook – managing
Proficiency in Adobe Acrobat for document review, editing, and file management
Experience maintaining accurate records and working with multiple databases
Ability to handle confidential information with professionalism and discretion
Experience supporting commercial property management operations (required)
Hands-on experience using Yardi for property management operations, tenant records, and maintenance/work order tracking (required)
