JOB OVERVIEW

We are seeking an Assistant Project Manager / Project Coordinator to provide strategic administrative and operational support to the Project Management team in the successful delivery of commercial construction projects. This role is critical to ensuring project administration runs smoothly, allowing Project Managers to focus on high-level project execution and client management while maintaining organizational excellence and timely project delivery.

The ideal candidate will have extensive construction administration experience with deep expertise in submittals, specifications review, and subcontractor coordination. This position thrives in a fast-paced environment, managing competing priorities while maintaining meticulous attention to detail, compliance, and documentation standards across multiple active projects.

Job Responsibilities:
-Manage and track submittals, RFIs, and project documentation across multiple concurrent projects.
-Review construction specifications and coordinate subcontractor submissions to ensure compliance and accuracy.
-Maintain organized project files, reporting systems, and document control procedures.
-Support project scheduling, procurement workflows, and material tracking.
-Coordinate communication between subcontractors, vendors, field teams, Project Managers, and clients.
-Prepare and support project meetings, including agendas, minutes, and follow-up action items.
-Ensure project deadlines, compliance requirements, and documentation standards are consistently met.
-Assist with contract administration and subcontractor coordination logistics.
-Track project milestones, timelines, and deliverables to keep projects on schedule.
-Support project communication workflows and interdepartmental coordination.
-Identify opportunities to improve project administration efficiency and consistency.
-Maintain current project information and ensure accessibility across project teams.

Qualifications:
-Bachelor's degree with at least 10 years of experience in commercial construction supporting Project Managers or working within project management teams.
-Strong understanding of commercial construction processes, workflows, and documentation standards.
-Hands-on experience reviewing specifications and managing submittals across multiple projects.
-Proficient in construction management software and Microsoft Office Suite (Excel, Word, Outlook, Teams).
-Highly organized with exceptional attention to detail in document-heavy environments.
-Excellent written and verbal communication skills across project teams, subcontractors, and vendors.
-Proven ability to manage competing deadlines and priorities in a fast-paced environment.
-Strong problem-solving and coordination skills.
-U.S. experience required.
