Job Overview:
We are seeking highly motivated and personable Virtual Appointment Setters to join our team. The ideal candidates will be responsible for handling client interactions, booking appointments, and providing exceptional customer service via social media and outbound calls. This role requires excellent communication skills, attention to detail, and the ability to convert inquiries into confirmed appointments.
Key Responsibilities:
Respond to comments and direct messages on Instagram and
Conduct outbound calls to book appointments.
Follow up with patients from the Follow-Up-Next Appointment list.
Ideal minimum quota of 1 successful booking every 20 calls.
Manage and update appointment schedules using our CRM system.
Provide accurate information about treatments, promotions, and pricing.
Handle initial inquiries and qualify potential patients based on their needs.
Address patient concerns or objections and escalate issues to the appropriate team when necessary.
Track and report appointment conversion rates and client interactions.
Maintain a professional and friendly tone in all communications.
Coordinate with in-clinic staff to ensure smooth scheduling and minimise double bookings.
Assist with administrative tasks such as data entry and maintaining patient records.

Qualifications & Requirements:
Experience in appointment setting, sales, customer service, or a related field is preferred.
Strong verbal and written communication skills in English.
Confidence in handling outbound calls and following up with potential patients.
Familiarity with social media platforms (Instagram &
Ability to work efficiently in a remote setting with minimal supervision.
Strong organisational skills and attention to detail.
Experience using CRM software or scheduling tools.
A reliable internet connection and a quiet work environment.
Willingness to work on a rotating shift and one weekend day (Saturday or Sunday).
Must be comfortable working in the health and beauty industry.
