About the Role
We are looking for a reliable, organized, and detail-oriented Virtual Assistant to support administrative, reporting, and operations tasks for our real estate business.
This is a fast-paced generalist operations role. You will handle a variety of responsibilities including tenant communication, payment tracking, reporting, vendor coordination, invoice tracking, and maintaining documentation. You will follow SOPs and checklists while helping keep operations organized and running smoothly.
The ideal candidate is proactive, highly organized, responsive, and able to manage multiple moving pieces without constant reminders.
Key Responsibilities
• Track rents, mortgage payments, utilities, invoices, and recurring items
• Calculate prorated rents, late fees, balances, and payment summaries
• Update spreadsheets and internal reports accurately
• Flag late payments and communicate summaries
• Assist with basic bookkeeping and invoice tracking
• Maintain organized records and documentation in Google Drive
• Communicate with tenants, vendors, and property management companies following scripts or SOPs
• Coordinate follow-ups and track outstanding items
• Assist with inbox management and administrative support
• Follow SOPs consistently and escalate issues appropriately
Requirements
• Minimum 2 years of admin or Virtual Assistant experience
• Previous VA experience REQUIRED
• Strong attention to detail and accuracy
• Strong organizational and follow-up skills
• Comfortable handling multiple priorities at once
• Strong intuitive/basic math skills for calculations and tracking
• Proficient in Microsoft Excel, Word and Google Workspace
• Clear written and spoken English
• Comfortable following SOPs and checklists
• Reliable high-speed internet connection and professional, distraction-free work environment
• Comfortable with time tracking
• Must be comfortable appearing on camera for internal meetings and occasional video calls
• Must have ID Proof Score of 80 or higher to be considered
• Reliable high-speed internet suitable for video calls, cloud-based systems, and multitasking across multiple platforms simultaneously
• Reliable computer/laptop capable of running Google Meet, Google Voice, spreadsheets, property management software,
• Quiet and professional work environment suitable for calls and virtual meetings
Preferred
• Dual monitor setup strongly preferred for operational efficiency and multitasking across multiple systems
• Real estate or property management experience
• Experience supporting busy business owners
• Experience with spreadsheets, payment tracking, and reporting systems
• Backup internet and/or backup power source strongly preferred
Hours and Pay
• ~30–35 hours per week
• Must substantially overlap with U.S. business hours
• $4-6/hour depending on experience
