We are seeking a highly skilled, professional, and self-motivated Virtual Assistant to join our team. This is a performance-driven role requiring strong communication skills, attention to detail, and the ability to work independently with minimal supervision.
This is NOT a position for individuals who require constant direction or struggle with follow-through. We are looking for someone proactive, dependable, and confident in executing tasks at a high level.
This role is essential to our daily operations, including communication, outreach, placement coordination, marketing support, and administrative management.
Fluent, professional English communication (spoken and written) is REQUIRED.
Key Responsibilities
Communication & Customer Engagement
Handle inbound and outbound calls professionally and confidently
Conduct high-volume cold calling to hospitals, facilities, and referral partners
Follow up consistently with leads, referrals, and partners
Respond to
Maintain strong communication etiquette with healthcare professionals and agencies
Placement & Intake Coordination
Assist with client intake processes and placement coordination
Communicate with case managers, discharge planners, and referral sources
Track leads, approvals, referrals, and move-in activity
Ensure accurate, organized documentation of all placements and communications
Administrative & Data Management
Manage calendars, scheduling, and appointment coordination
Maintain CRM systems, spreadsheets, and digital records
Perform accurate data entry and lead tracking
Support reporting, documentation, and compliance-related tasks
Ensure all records are updated and organized daily
Marketing, Outreach & Engagement
Execute
Assist in outreach and relationship-building with:
Hospitals
Nursing facilities
Behavioral health centers
Social service agencies
Support creation and distribution of outreach materials
Build and maintain strong professional relationships with referral partners
Research & Business Development
Research new referral sources and placement opportunities
Identify and develop new partnerships in target regions
Support growth initiatives to position the company as a leading housing resource
Required Skills & Qualifications
100% fluent, professional English (spoken and written)
Strong phone presence with confidence speaking to professionals
Proven experience in:
Cold calling / outbound outreach
Customer service or client communication
Administrative support or data entry
Highly organized and detail-oriented
Tech-savvy
Ability to work independently with minimal supervision
Strong time management and multitasking abilities
Fast learner who can quickly adapt to systems and processes
Preferred Experience
Healthcare, behavioral health, assisted living, or housing industry experience
Experience working with case managers, discharge planners, or social services
Background in sales, outreach, or business development
Familiarity with placement coordination or client intake processes
