Position Summary

Administrative Assistant

The Administrative Assistant at Lawn Brothers plays a vital role in supporting daily business operations by managing inbound and outbound communications, coordinating schedules, processing invoices, and ensuring efficient administrative workflows. This position serves as the first point of contact for customers and helps maintain strong client relationships through professional, timely, and accurate communication.

Key Responsibilities

Inbound & Outbound Calls

Answer and manage incoming customer calls, inquiries, and service requests in a professional and friendly manner.
100 outbound calls a day
Make outbound calls to schedule services, confirm appointments, follow up on estimates, and collect payments when necessary.

Address customer concerns and route calls to appropriate tea ---------- mbers as needed.

Maintain accurate call logs and customer records.

Scheduling & Coordination

Schedule lawn care services, estimates, and follow-up appointments efficiently.

Update scheduling systems with changes, cancellations, and service notes.

Communicate daily schedules and adjustments to field staff.

Invoicing & Billing

Prepare and send invoices promptly and accurately.

Process payments and maintain billing records.

Follow up on outstanding invoices and manage accounts receivable.

Ensure customer accounts are updated with accurate billing information.

Administrative Support

Maintain organized digital and physical filing systems.

Enter and update customer information in CRM or company software.

Assist with reporting, data entry, and document preparation.

Support management with general office tasks and special projects.

Qualifications & Skills

Proficiency in scheduling and invoicing software.

High attention to detail and organizational skills.

Ability to multitask and prioritize in a fast-paced environment.

Experience Requirements

Minimum 2 years of administrative, customer service, or office support experience preferred.

Experience handling high-volume inbound and outbound calls in a professional setting.

Prior experience with scheduling services

Experience with invoicing, billing, and accounts receivable processes preferred.

Proficiency using CRM systems, scheduling software, and Microsoft Office (Word, Excel, Outlook).

Experience in landscaping, home services, construction, or similar service-based industries is considered an advantage.

PHYSICAL REQUIREMENTS
Prolonged periods sitting at a desk and working on a computer
