Job Description:
We are looking for a detail-oriented and proactive Virtual Assistant to serve as an Executive Assistant for our founder and e-commerce company. The ideal candidate will be highly organized, self-motivated, and have experience in e-commerce and Amazon-related tasks. You will be responsible for a wide variety of administrative and operational duties to support the growth and efficiency of our business.
Responsibilities:
Review products inside our software and match the correct images to each item
Compare product images against reference images, listings, or other product details
Identify incorrect, missing, or mismatched images
Follow step-by-step instructions for image matching and admin workflows
Enter and update information accurately in our system
Flag any unclear or questionable matches for review
Complete other miscellaneous admin tasks as needed
Maintain consistent accuracy and productivity throughout the workday
Inventory & Listings Management
Open Listings: Creating and optimizing product listings on Amazon and other platforms.
Update Buy Sheet/Cost Sheet: Maintaining and updating spreadsheets for product pricing, costs, and profit margins.
Contact Vendors For Missing Items: Communicating with suppliers for any missing or delayed products to ensure smooth operations.
Updating Inventory Sheet for MF Orders: Keeping inventory up-to-date for Made-For (MF) orders and ensuring proper tracking.
Administrative & Operational Support
Checking Sites for Sales Every Morning: Researching and checking competitor websites or sales platforms daily to track promotions and new trends.
Subscriptions & Payments: Monitoring company credit card subscriptions and ensuring timely payments for software tools and services.
Generating Store Accounts: Creating and managing accounts on various platforms and marketplaces as needed.
Ordering Supplies: Managing inventory of office supplies, packaging materials, and other essential business items.
Checking Stock of Common SKUs: Ensuring popular items are well-stocked.
Qualifications:
Experience: Minimum of 2 years working in a similar role (e-commerce, virtual assistance, administrative assistant, or executive assistant).
Technical Skills: Proficient in Microsoft Excel/Google Sheets and basic spreadsheet management.
Familiar with Amazon Seller Central and listing processes.
Basic knowledge of e-commerce tools and software (inventory management,
Type 100+ words per minute.
Communication Skills: Excellent written and verbal communication skills in English.
Attention to Detail: Strong organizational skills with a focus on accuracy.
Problem-Solving: Ability to handle issues independently, troubleshoot, and come up with solutions quickly.
Self-Motivated & Disciplined: Ability to work independently with minimal supervision in a remote setting.
Preferred Skills (Not Required but a Plus):
Experience with sourcing products or vendor management.
Familiarity with tools like Shopify, Ebay, and other e-commerce platforms.
Knowledge of social media trends in fashion and sneakers.
