JOB OVERVIEW

Key Responsibilities
Accounting & Bookkeeping
• Manage day-to-day bookkeeping activities using Xero.
• Process supplier invoices and raise Purchase Orders (POs) in Xero.
• Reconcile bank accounts, credit card transactions, and supplier statements.
• Maintain accurate financial records and supporting documentation.
• Assist with month-end and year-end accounting processes.
• Prepare P&L reports when required
• Ensure all accounting records are maintained in accordance with Australian accounting standards.
• Develop, implement, and maintain standard operating procedures for invoicing, accounts payable, and accounts receivable processes.
Australian Taxation & Compliance
• Apply working knowledge of Australian taxation requirements.
• Assist with BAS preparation and GST reporting.
• Ensure compliance with Australian bookkeeping and accounting practices.
• Work closely with management on tax-related documentation and reporting requirements.
Invoicing & Accounts Receivable
• Prepare and issue client invoices accurately and on time.
• Monitor outstanding accounts and follow up overdue payments with clients.
• Maintain invoicing records and payment tracking schedules.
• Develop and maintain invoicing procedures to improve efficiency and accountability.
• Ensure invoices are properly coded and allocated within Xero.



Accounts Payable
• Process supplier invoices and maintain supplier payment schedules.
• Follow up with suppliers regarding outstanding invoices and supporting documents.
• Liaise with the South Sea Horizons Director regarding unpaid supplier invoices and POs requiring payment approval.
• Track supplier payments and maintain accurate payment records.
Administrative Support
• Maintain organised digital filing systems for invoices, POs, receipts, and financial records.
• Assist with general administrative tasks and business support functions.
• Manage accounting-related correspondence with suppliers, clients, and internal stakeholders.
• Ensure all documentation is filed accurately and accessible for audit and reporting purposes.
