AI Workflow Automation Specialist (Marketing & Operations)

We are a U.S.-based strategic communications and marketing agency seeking an AI Workflow Automation Specialist to help build and optimize internal AI systems, automations, and operational workflows across our agency. This is not a simple VA or chatbot role. We are looking for someone who understands how to combine AI tools, workflow systems, automation platforms, and operational thinking to improve how a fast-moving agency works.

You will help design AI-powered workflows, build automations, improve systems, connect platforms, support process efficiency, and help our leadership team identify practical ways to use AI across operations, marketing, business development, project management, research, and communications.

This role will begin focused on system setup, workflow development, and automation engineering, with the potential to grow into a long-term leadership role overseeing AI systems and operational automation across the company.

Note you will be programming JSON files in a new SASS system called ---------- to build Knowledge Bases, AI Agents, and Workflows to support a variety of marketing operations for a marketing agency called Change Craft.

Core Responsibilities
AI & Workflow Automation
• Build workflow automations using tools such as CassidyAI, ---------- , Zapier, ChatGPT, Claude, Airtable, Notion, Asana, Google Workspace, Slack, and related platforms
• Design AI-assisted workflows for project management, business development, research, scheduling, reporting, document generation, and operations
• Create systems that reduce manual work and improve organizational efficiency
• Build and maintain AI agents, prompts, templates, and automation processes
• Troubleshoot automation errors, workflow failures, and integration issues

Systems Integration & Optimization
• Connect platforms and tools through APIs, automation systems, and workflow logic
• Improve internal processes through structured automation design
• Evaluate new AI tools and recommend scalable solutions
• Organize workflow documentation and maintain process SOPs
• Support operational reporting, dashboards, and data organization

Agency Operations Support
• Collaborate with leadership to identify repetitive processes suitable for automation
• Help improve systems related to marketing, communications, research, finance, project management, and business development
• Train tea ---------- mbers on implemented systems and workflows as needed
• Maintain awareness of emerging AI tools, workflow trends, and automation best practices

Required Skills
• Experience using automation tools such as ---------- , Zapier, or similar platforms
• Strong understanding of AI tools including ChatGPT and other LLM-based systems
• Experience building workflows, automations, or operational systems
• Strong problem-solving and systems-thinking ability
• Excellent organization and documentation skills
• Ability to troubleshoot technical issues independently
• Strong written English communication
• Ability to learn quickly and adapt to evolving technology

Preferred (Nice to Have)
• Experience with Airtable, Asana, Slack, Notion, or Google Workspace administration
• Experience using APIs or no-code/low-code integrations
• Familiarity with marketing agencies, operations teams, or service-based businesses
• Experience with Python, automation scripting, or workflow logic
• Experience building dashboards or operational reporting systems
• Understanding of AI agents, prompt engineering, or process architecture

Compensation
• Salary Range: $1,000 to $1,800 per month (for full-time) Depending on Experience (DOE)
