ob Title: Accounts Officer
Overview:
We are seeking a reliable Accounts Officer to manage day-to-day accounts receivable and basic project-related financial tasks. The role requires strong attention to detail, excellent communication, and proficiency with Xero. The successful candidate will invoice clients, reconcile payments, follow up on overdue accounts (including by phone), and support online invoicing/building software and job project monitoring.
Key Responsibilities:
Create and send accurate client invoices using Xero.
Reconcile bank and payment transactions in Xero; apply and mark payments to invoices.
Monitor accounts receivable and aging reports; proactively follow up on overdue invoices by
Maintain clear records of collection activity and escalate problematic accounts as needed.
Use and adapt to online building/invoicing software platforms as required (learning new tools and integrating with Xero where possible).
Monitor financial progress of job projects: track billings, payments, retainers, and outstanding balances per job.
Liaise with project managers and operations to resolve invoice disputes, verify job costs, and ensure timely billing.
Prepare routine reports (aging, cash receipts, invoicing summaries) for management.
Support month-end processes and provide documentation for accountants/auditors as needed.
Maintain client contact details and ensure billing accuracy.
Skills & Qualifications:
Proven experience in accounts receivable or bookkeeping, preferably using Xero.
Strong knowledge of invoicing, payment reconciliation, and collections processes.
Comfortable making collection calls and managing difficult conversations professionally.
Willingness to learn and work with online building/invoicing software and integrate workflows.
Good organizational skills, attention to detail, and ability to manage multiple job accounts.
Proficient with Excel and basic accounting principles.
Strong communication and customer-service skills.
Certificate/diploma in accounting, bookkeeping, or equivalent experience preferred.

Occasional phone calls to clients during business hours 9-5PM AEST
