JOB OVERVIEW

Intake & Listing Coordination Processing:

– Monitor the Transaction Coordinator and Listing Coordinator email for incoming new contracts and listing agreements, processing them on the same business day (or the following business day if received after 4:00 PM).
– Under the direction of the company Transaction Coordinator, review executed Texas Real Estate contracts, addenda, and amendments for compliance with TREC regulations.
– Examine contracts and listing agreements for accuracy, completeness, and compliance, reporting any non-compliance to the Manager via the designated system.
– Assist with listing input into MLS, ensuring all property details are correctly entered and compliant with MLS and brokerage guidelines.
– Update task lists in company systems to align with contract and listing details, ensuring a seamless transition for both the Transaction Coordinator and Listing Coordinator teams.
– Review the Transaction Summary and Listing Summary for accuracy, make necessary corrections, and notify the team upon completion.
– Submit executed contracts, addenda, amendments, and listing agreements to the Agent-Client compliance platform and TC’s electronic system.
– Ensure all listing documents (MLS input, seller disclosures, photos, marketing materials, etc.) are properly saved and organized in the TC system.

Compliance Processing:

– Ensure executed contracts, addenda, amendments, and listing agreements are submitted to the Agent-Client compliance platform within three (3) business days of execution.
– Ensure all files meet broker requirements as outlined in the TC and Listing Coordinator task lists.
– Present non-compliant files to the Transaction Manager at least five (5) calendar days before the deadline, including a detailed summary of requirements and actions taken.

Qualifications:

– Real estate compliance and listing coordination experience required (experience in TX is a plus).
– Familiarity with transaction and listing management and understanding of TREC regulations and MLS guidelines.
– Ability to work independently, take initiative, and make confident decisions.
– Strong organizational skills and a detail-oriented mindset.
– Proactive in suggesting process improvements.
– Must uphold high standards of work ethics and integrity.
– Hands-on experience with TCdocs and MLS platforms is a plus. If not, the ability to learn new systems quickly is required.
– Extreme Attention to Detail – Ability to identify even small discrepancies in contracts, dates, and tasks to ensure smooth transaction and listing processes.
– Strong Time Management – Ability to prioritize tasks effectively, especially when managing multiple transactions and listings simultaneously.
– Problem-Solving Skills – A proactive approach to identifying and resolving issues, especially in situations requiring compliance corrections or quick action.
– Communication – Clear and concise written communication for email and reporting tasks.
