Job Description

Divino Arc is a growing interior design and planning studio based in California. We are looking for a highly organized, detail-oriented Remote Material Takeoff Assistant / Procurement Coordinator to support our Material Takeoff Manager with material calculations, estimate requests, vendor coordination, order tracking, and project purchasing support.

This role requires someone who is very accurate with numbers, comfortable reviewing plans and elevations, organized with spreadsheets, and able to follow up with vendors professionally.

This is not a general admin role. The main focus is materials, quantities, estimates, vendors, and order tracking.

Main Responsibilities

* Assist the Material Takeoff Manager with calculating material quantities.
* Review design drawings, elevations, floor plans, and finish schedules.
* Calculate tiles, slabs, flooring, plumbing fixtures, lighting, hardware, and other finish materials.
* Prepare and update material spreadsheets.
* Request estimates from vendors and showrooms.
* Follow up with vendors regarding pricing, availability, lead times, and revisions.
* Track submitted estimate requests and pending vendor responses.
* Compare vendor estimates against our material schedules and quantities.
* Help identify missing items, discrepancies, or unclear information.
* Track client-approved materials and order status.
* Maintain organized records of quotes, invoices, purchase orders, and vendor communication.
* Coordinate with vendors regarding order status, ETAs, backorders, discontinued items, and delivery updates.
* Update the internal team regarding material status and potential delays.
* Work closely with Juan, our Material Takeoff Manager, to keep all material-related information accurate and up to date.

Required Skills

* Strong English communication skills, written and spoken.
* Strong attention to detail.
* Comfortable working with numbers, measurements, and quantities.
* Experience with spreadsheets, Google Sheets, Excel, or similar.
* Ability to read and understand basic floor plans, elevations, and design drawings.
* Comfortable communicating with vendors by email and phone.
* Highly organized and able to track multiple projects at the same time.
* Comfortable following detailed processes and checklists.
* Able to work under deadlines and follow up consistently.
* Reliable internet connection and quiet work environment.

Preferred Experience

Experience in one or more of the following is highly preferred:

* Interior design
* Construction administration
* Material takeoffs
* Procurement
* Purchasing coordination
* Vendor coordination
* Estimating
* Architecture or design support
* Cabinetry, tile, slabs, flooring, plumbing fixtures, or lighting

Work Schedule

This is a remote position, but the schedule must align with California business hours.

Required availability:

Monday-Friday, 9:00 AM-6:00 PM California time

Compensation

Please include your expected monthly salary or hourly rate in your application.
For someone very strong with construction, estimating, procurement, or material takeoff experience, we may consider a higher rate.

This role requires accuracy, organization, and consistent follow-up. We are looking for someone who can help keep material calculations, vendor estimates, and order tracking organized across multiple active projects. The right person must be detail-oriented, proactive, and comfortable working closely with our Material Takeoff Manager.
