ROLE OVERVIEW
=====

We’re hiring a full-time Project Manager to run delivery across our client accounts and internal team.

This role is closer to a true marketing agency project manager (within a multi-service environment) than a basic coordinator. We need someone who can operate inside a complex ecosystem with frequent context switching, ambiguity, and multiple workstreams moving at once.

The goal of this hire is not simply “keeping tasks organized.”
The goal is meaningful operational lift: someone who can own timelines, unblock delivery, keep everyone aligned, and reduce the amount of context-loading and oversight required from senior tea ---------- mbers.

This is a critical hire. Done right, it creates real bandwidth relief and a smoother client experience.

WHAT SUCCESS LOOKS LIKE
=====

- Client deliverables ship on time, consistently, across multiple accounts
- Internal teams have clarity (what’s due, when, by whom, and what “done” looks like)
- Scope, priorities, and next steps stay clean even when clients change direction
- Fewer bottlenecks and fewer “surprises” (risks are surfaced early)
- Leadership spends less time chasing status and more time on high-leverage work
- Clients feel taken care of: proactive updates, clear coordination, and professional communication

KEY RESPONSIBILITIES
=====

Agency Delivery Ownership
- Own timelines, task execution flow, and day-to-day delivery across multiple client engagements
- Translate priorities into clear task plans with owners, due dates, dependencies, and definitions of done
- Run weekly (or as-needed) internal delivery check-ins and follow-ups
- Keep work moving even when inputs are missing (surface gaps early, propose next steps)

Cross-Functional Coordination (Multi-Service)
- Coordinate work across SEO, content, design, web/dev, paid media, analytics/reporting, and client comms
- Comfortably context-switch between accounts and workstreams without dropping details
- Track dependencies across functions (e.g., design needed before dev, copy needed before design, tracking needed before launch)

Client-Facing Communication + Follow-Through
- Proactively communicate status, timelines, and next steps to clients (clear, calm, professional)
- Maintain consistent follow-through internally and externally
- Surface risks early and propose solutions (not just “flagging problems”)

Systems + Operational Judgment
- Use and maintain our PM system at a high level (ideally ClickUp): task structure, documentation, recurring workflows, templates, and hygiene
- Create clarity in ambiguous situations using sound judgment, not constant escalation
- Identify recurring operational issues and improve the system (templates, SOPs, checklists, meeting cadence)

Reporting + Coordination Support
- Confident navigating spreadsheets, reporting workflows, and performance reporting processes
- Familiarity with marketing platforms from a coordination/reporting standpoint (GA4, Google Ads, Meta Ads, etc.) even if you are not the one executing campaigns
- Ensure reporting deliverables and check-ins stay on schedule

Upwork Operations (Required)
- Manage contractor workflows and administrative coordination tied to Upwork
- Communicate clearly with freelancers, manage expectations, and keep deliverables on track
- Maintain Upwork-related organization and follow-through as part of our operating rhythm

JOB REQUIREMENTS
=====

- Full-time (35–40 hours per week); flexible working hours
- Prompt communication and reliable follow-through
- A dependable computer, stable power, high-speed internet + backup hotspot
- Comfort using GSuite and basic Microsoft Office
- Ability to accept payroll via Wise (formerly TransferWise)
- Willingness to log hours using a time tracker (e.g. Hubstaff)

REQUIRED SKILLS / TRAITS (NON-NEGOTIABLE)

- Honesty and candid communication — even when it’s uncomfortable
(We can work through almost anything with transparency. Trust is the only thing we can’t rebuild once broken.)
- Strong project management instincts in a fast-moving environment with frequent context switching
- Proactive, detail-oriented communication with consistent follow-through (internal and client-facing)
- Strong operational judgment and ability to navigate ambiguity with minimal oversight
- Deep familiarity with PM systems (ideally ClickUp): task structuring, documentation, templates, and cross-functional coordination
- Experience coordinating reporting workflows (spreadsheets, dashboards, recurring reporting deliverables)
- Ability to keep multiple client workstreams on track simultaneously without needing constant context-loading
- High standards delivered with kindness (clear, direct, and professional without ego or harshness)

PREFERRED EXPERIENCE (STRONGLY PREFERRED)
=====

- Experience working inside a multi-service marketing agency (SEO/content/PPC/web/dev workflows)
(This is a major differentiator between a coordinator and a true agency PM.)
- Familiarity with the major marketing platforms from a coordination standpoint (GA4, Google Ads, Meta Ads, HubSpot, etc.)
- Experience improving internal systems and operational processes (not just “running what already exists”)

EXPECTATIONS

- Your manager will be there for you — and we will set you up for success — but…
- After onboarding, you’ll be trusted with real autonomy and real accountability
- We expect proactive communication, early risk surfacing, and strong follow-through
- We have a strict policy against logging/billing hours when you aren’t actively working
- If you can’t reach expected hours in a given week (sick, power outage, etc.), tell us as soon as possible
- This role should create meaningful operational lift, not just coordination activity
