Podcast Guest Outreach Coordinator

About the Role:
We are seeking a highly experienced and process-driven Podcast Guest Outreach Coordinator to streamline and manage guest outreach for the How I Invest podcast (Upgrade to see actual info). The ideal candidate will have proven experience in securing high-profile guests, a structured approach to tracking outreach efforts, and the persistence to follow up across multiple platforms when necessary and ensure that no opportunity is missed in securing top-tier guests.

Key Responsibilities:
1. End-to-end guest outreach: Identify, research, and reach out to potential podcast guests who align with How I Invest’s vision.
2. Multi-platform engagement: Utilize email, LinkedIn, X/Twitter, and other platforms to ensure outreach success.
3. Rigorous follow-up process: Implement a structured system to track outreach, maintain follow-ups, and ensure responses.
4. CRM & tracking management: Maintain a streamlined system (CRM, spreadsheet, or other tools) to log interactions, responses, and next steps.
5. Scheduling & coordination: Manage bookings, confirm appearances, and ensure seamless communication between guests and the podcast team.
6. Data-driven improvements: Analyze outreach success rates, refine strategies, and improve processes over time.

Ideal Candidate:
1. Proven experience (minimum 3+ years) in outreach, guest booking, or business development, preferably in the podcast or media industry.
2. Structured and process-oriented—has a well-defined system for tracking and maintaining outreach efforts.
3. Highly persistent and resourceful—knows how to follow up effectively and pivot to different platforms if one isn’t working.
4. Tech-savvy & organized—comfortable using CRMs, spreadsheets, and communication tools to manage outreach.
5. Exceptional written and verbal communication—can craft persuasive, professional messages.
6. Results-driven—able to measure outreach performance and optimize processes for better results.
7. Familiarity with finance, venture capital, or investing is a plus but not required.
