About: Advisor Tech Partners helps financial advisory firms build better workflows inside Wealthbox and Redtail CRMs, set up automations through Zapier, and configure scheduling platforms like Calendly and GReminders.
- We work with financial advisors who need their systems, workflows, automations, and client experience to run smoothly.
- We are hiring a full-time Operations Specialist based in the Philippines to support our owners, advisors, CRM workflows, automations, client service processes, prospect follow-ups, and YouTube content operations.
Role Summary: This role is ideal for someone who is highly organized, excellent in English, strong with CRMs, comfortable following detailed workflows, and capable of improving internal processes over time.
- Your first priority will be supporting the company owners and advisors.
- You will help keep CRM records accurate, manage tasks and workflows, support Zapier automations, improve internal processes, create Loom tutorials, and help manage our YouTube publishing process.
- This is a long-term role for someone who wants stability, high standards, clear expectations, and room to grow.
Top Priorities: Your main priorities will be:
- Supporting owners and advisors with operational tasks
- Keeping CRM records, tasks, notes, stages, and workflows accurate
- Building and maintaining Zapier automations
- Supporting Wealthbox and Redtail CRM workflows
- Improving internal processes and SOPs
- Editing and publishing 2 YouTube videos per week
- Creating Loom tutorials and internal training videos
- Supporting limited client communication when needed
Responsibilities: You will be responsible for:
- CRM & Workflow Operations
1) Keep CRM records accurate and up to date
2) Follow CRM workflows exactly as documented
3) Update tasks, notes, stages, and client/advisor records
4) Review follow-ups and make sure nothing is missed
5) Help maintain and improve Wealthbox and Redtail workflows
6) Support CRM cleanup and data organization
7) Make work visible and trackable inside the CRM
8) Help the team fully utilize the CRM instead of working outside the system
- Zapier & Automation
1) Build and maintain intermediate Zapier automations
2) Work with multi-step Zaps, filters, formatting, and workflow logic
3) Troubleshoot Zapier errors
4) Document automations and how they work
5) Help improve internal automation processes
6) Connect CRM, scheduling,
- Advisor & Owner Support
1) Support company owners and advisors with operational tasks
2) Help prepare workflows, tutorials, and client/advisor process materials
3) Follow up on open items
4) Organize information clearly
5) Take ownership of assigned tasks
6) Communicate clearly when something is unclear or blocked
- Scheduling Software Build Out & Upkeep
1) Help manage or support tools like GReminders and Calendly
2) Assist with scheduling workflows
3) Make sure scheduling-related processes are accurate and easy to follow
4) Help document recurring setup steps
- Loom Tutorials & Internal Documentation
1) Create Loom video tutorials for internal processes
2) Explain workflows clearly in written and video format
3) Help build and improve SOPs
4) Document repeatable steps so other people can follow them
- YouTube & Video Operations: You will also own our YouTube publishing process for 2 videos per week.
1) Receive raw footage from the owners
2) Edit videos using Kapwing or another approved editing tool
3) Remove mistakes, long pauses, and unnecessary filler
4) Improve pacing and watchability
5) Keep the video simple, professional, and not overproduced
6) Add intro/outro where needed
7) Add simple branding elements
8) Create thumbnails
9) Write video titles & descriptions
10) Upload and schedule videos on YouTube
11) Manage the YouTube publishing checklist
***Short-form clips may be added in the future, but long-form YouTube videos are the current priority
Required Experience: You should have experience with
- CRM workflows and CRM data management

Compensation: Starting compensation is
- $800 USD per month for the first 6 months
- After a successful 6-month performance review, compensation increases to: $1,200 USD per month
- Performance bonuses may also be available based on results, reliability, and quality of work.
