JOB OVERVIEW

We are looking for a highly organized, proactive, tech-savvy Executive Assistant & Marketing Coordinator who can support business owners directly while also assisting with marketing execution, lead management, and CRM administration.

This is an ideal role for someone who enjoys both administrative support and marketing. You should be comfortable working directly with business owners, managing tasks independently, creating marketing assets, handling leads, and helping keep operations moving smoothly.

Primary Responsibilities
Executive Assistant Support
Manage calendars and appointments
Assist business owners with daily administrative tasks
Organize projects, tasks, and follow-ups
Coordinate meetings and communications
Prepare presentations, reports, and documents
Conduct online research and gather information as needed
Assist with special projects and operational tasks


Lead Management & Client Communication
Manage incoming leads through GoHighLevel (GHL)
Follow up with leads via phone, SMS, email, and CRM workflows
Qualify leads and maintain accurate pipeline stages
Schedule appointments and consultations
Ensure all lead communication is timely and professional
Maintain excellent customer experience throughout the sales process


Marketing & Advertising
Create and schedule social media content
Design Canva graphics, flyers, presentations, and promotional materials
Assist with Facebook Ads management
Assist with Google Ads management
Monitor campaign performance and basic reporting
Create monthly newsletters and email campaigns
Help increase Google reviews and online visibility
Post in local Facebook groups and community pages when needed


GoHighLevel (GHL) Administration
Build and manage workflows and automations
Create landing pages and forms
Manage pipelines and opportunity tracking
Create surveys, forms, and nurture campaigns
Upload and organize training materials
Generate QR codes and marketing assets
Maintain CRM organization and data accuracy


Content & Creative Support
Create professional Canva graphics
Edit short-form marketing videos
Edit Zoom recordings and training content
Assist with branding and marketing campaigns
Support content creation initiatives


Administrative & Operations Support
Assist with hiring and recruitment activities
Conduct applicant screening interviews
Post job advertisements
Assist with onboarding tasks
Support weekly operational reporting
Help maintain organized systems and documentation


Requirements
Must Have
Excellent English communication skills (written and spoken)
Strong comprehension and conversational ability
Previous Executive Assistant or Personal Assistant experience supporting a business owner, executive, or entrepreneur
GoHighLevel (GHL) experience
Experience with lead management and CRM systems
Canva experience
Social media management experience
Strong organizational and multitasking skills
Ability to work independently with minimal supervision
Reliable internet and computer setup

Facebook
