We are a US-based boutique staffing firm seeking an Executive Operations Partner to serve as the "Right Hand" to the Founder. This is not a traditional VA role; this is a high-level partnership for a proactive professional who can manage the "science" of our back-office and talent operations.
You will own the operational integrity of the business, ensuring that candidate profiles, internal processes, and administrative workflows meet a "New York" standard of excellence. While we can teach you our specific invoicing and resume-building methods, you must already be an expert in systems, automation, and process documentation.
Your Core Responsibilities:
Talent Operations & Curation: Reviewing candidate applications, sorting talent based on strict criteria, and "polishing" resumes. You will be responsible for creating the professional dossiers and profiles that we present to our US clients.
Process Documentation (SOPs): You will observe our manual tasks and turn them into crystal-clear Standard Operating Procedures (SOPs). You are the "Librarian" of our business knowledge.
Workflow Automation: Audit our current admin processes and implement automations using Zapier,
Client Relations & Onboarding: Act as the primary point of contact for US clients. You will manage the onboarding lifecycle, ensuring contracts are signed and clients are successfully integrated.
Calendar & Inbox Mastery: Triage the Founder’s inbox and manage a complex schedule across multiple US time zones. You protect the Founder’s time so they can focus on high-level growth.
Legal & Compliance Support: Assist in drafting service agreements, managing document storage (DocuSign/SignNow), and ensuring all company paperwork is accurate and organized.
Requirements:
5-8+ Years as a Senior EA, Ops Manager, or TA Ops Lead: Experience in a fast-paced US startup or professional services environment.
The "Systems" Brain: You think in logic gates. You see a repetitive task and immediately think about how to automate it.
Technical Writing Skills: You have a gift for taking messy information and turning it into a clean, professional, and persuasive document (resumes, profiles, reports).
Technical Stack: Expert in Google Workspace, Airtable/Notion, and Workflow Automation tools (Zapier/Make).
Proactive Intelligence: You don’t wait for a task list; you see an operational gap and you close it.
Shift: US Business Hours (EST). Full-time, 40 hours per week.
Compensation & Benefits:
$950 – $1,100 USD / month (based on experience).
15/30 Payment Schedule: Paid bi-monthly via Wise.
Impact: You will be the foundational hire for our operations team with room to move into a Director of Ops role.
