Aspire Mortgage Advisors / Matt Talks Mortgage LLC is a mortgage advisory firm serving clients across the U.S. We're looking for a highly organized, full-time VA with real estate and mortgage industry experience to support our founder across mortgage operations, social media, bookkeeping, investment property analysis, and personal executive assistance.
This is a broad, high-trust role. You'll be working directly with the principal — handling sensitive client data, keeping operations running smoothly, and growing into a key part of the business. Most tasks are async-friendly, but you should be available for at least one touchpoint during CST business hours daily.
What You'll Own:
Mortgage Admin:
Set up post-closing tasks in the CRM and scrub contact cards for accuracy after closing
Upload documents from shared folders into the CRM
Review Homebot reports and cross-reference with CRM for data accuracy
Send referrals through the CRM using pre-built
Update and maintain the referral tracker in Excel
Plan and gather data for client and realtor events
Create weekly realtor
Social Media:
Research content from provided accounts and deliver 5 weekly post topics
Edit and post videos and long-form written content across
Bookkeeping:
Weekly QuickBooks reconciliation to keep the P&L current
Investment Property Analysis:
Source and analyze investment properties monthly using provided parameters and Excel calculator
Deliver 2 properties per month for review
Personal & Executive Support:
Travel coordination and reservations
Restaurant and event bookings
Gift reminders and event planning
Home maintenance scheduling
Subscription tracking
Vehicle registration renewals
General
You're a Strong Fit If You:
Are highly organized with strong attention to detail
Have solid CRM data entry experience (HubSpot, Salesforce, or similar)
Are familiar with real estate and mortgage terminology
Manage
Can work independently and async with minimal hand-holding
Are comfortable handling confidential client and financial data with discretion
Preferred Background:
Mortgage, real estate, or financial services admin support; executive assistant experience for a founder or high-volume professional
Nice to Have:
Experience with Eventbrite, Mortgage Coach, Homebot, or Microsoft Teams
Prior QuickBooks or bookkeeping experience
Familiarity with Meta Business Suite and Canva for social content
Tools You'll Use:
