Virtual Rockstar is seeking a high-energy, upbeat, and positive Executive Assistant to support our client’s busy practice and contribute to the overall efficiency of our clinic and personal needs. The ideal candidate is organized, proactive, and passionate about helping others.

The Executive Assistant will be responsible for managing both administrative and personal duties, ensuring smooth operations for the clinic and providing high-level support to our owner. This is a full-time virtual position with a part-time focus on administrative tasks within the dermatology practice.

Responsibilities:


Email
Management: Organize, prioritize, and respond to emails in a timely manner.
Calendar Management: Schedule, coordinate, and confirm appointments, meetings, and events.
Appointments & Travel Coordination: Book personal and professional appointments, arrange travel, and create itineraries.
Special Projects & Research: Conduct research on various topics, including online projects, clinic improvements, and industry trends.
Social Media Posting: Manage and post content on social media platforms to keep the practice visible and engaging.
Event Organization: Plan and coordinate events, gatherings, and team-building activities.
Home Service Coordination: Manage personal tasks such as home service scheduling and research.
Gift Shopping & Research: Find and purchase gifts for special occasions and personal needs.
Online Purchases & Reminders: Track and manage online purchases and set reminders for follow-up tasks.
Clinic Support: Assist with script refills, make patient phone calls, and help manage the dermatology practice's daily operations.
Document & Time Management: Help prioritize time-sensitive tasks and maintain organized records for personal and clinic matters.

Qualifications:

Experience in Dermatology is highly preferred to understand the specific needs of the practice.
Proficiency in Google Workspace is required.
Excellent organizational skills with a passion for staying busy and being efficient.
Strong communication skills and the ability to interact positively with patients, staff, and the clinic’s owner.
Ability to work independently and take initiative in a fast-paced environment.
Demonstrated integrity, reliability, and attention to detail.
Must enjoy multitasking and thrive in a dynamic environment.
