???? About the Role:
We’re hiring a sharp, detail-oriented, and proactive Billing & Payroll VA to fully own the billing and back-office finance processes for our U.S. moving and storage company. You’ll be replacing a long-time tea
You’ll also work closely with our internal systems like QuickBooks Online, Movegistics, Google Sheets, and Loom video workflows. We will provide detailed SOPs, Loom video training, and daily communication support until you're fully confident in the role.
???? Your Responsibilities Include:
Daily Tasks:
Monitor bank PositivePay daily to approve outgoing checks (critical deadline: 12 PM Arizona time)
Review and reconcile daily truck logs (TL) against invoices and time entries
Enter and apply card payments, deposits, and journal entries (JE) into QuickBooks
Process recurring billing, storage invoices, and apply payroll tips/crating
Answer tea
Billing / Invoicing:
Create and apply separate storage and warehouse handling invoices
Manage storage in/out entries, validate timing and vault counts
Build and maintain recurring storage invoices on 28-day cycles
Track, update, and reconcile warehouse handling charges
Review and escalate billing discrepancies to warehouse team
Payroll:
Match job timesheets and truck logs
Enter and reconcile PPD (Pay Per Day) hours for employees
Record tips and crating commissions
Ensure garnishment tracking and employee hours are accurately updated
Prepare payroll summaries for final review and submission
Other Tasks:
Respond to customer billing inquiries
Assist with new employee onboarding and terminations in QuickBooks
Assist with AR follow-up during downtime
Cross-check documents and add internal notes to maintain audit trails
???? You Must Have:
Proven experience with QuickBooks Online
Excellent English communication (written & verbal)
Strong attention to detail and high accuracy in data entry
Ability to follow complex SOPs and improve them
Confidence working across multiple systems and switching between them fluidly
Experience handling sensitive financial data
? Bonus if You Have:
Experience with U.S.-based service businesses (especially moving, logistics, construction, or warehousing)
Familiarity with Movegistics CRM
Background in payroll and AR/AP
???? Schedule:
40 hours/week (Full Time)
Monday to Friday
Must be online and available starting 11 PM PH time daily
Occasional weekend tasks depending on workload (rare)
